Terms of service

Bar Car Mobile (“we,” “us,” or “our”) provides mobile bar services at public and private events in Port Townsend and the surrounding areas. These Terms govern your booking and use of our services. By booking or engaging with us, you agree to these Terms.

1. Eligibility & Booking Acceptance

  • You must be at least 18 years old to request and confirm a booking.

  • A confirmed booking exists once you submit a signed booking form/deposit and we issue a confirmation.

2. Services Provided

  • Bar Car Mobile will arrive with a fully stocked vintage trailer bar, service staff, and requested beverage selections.

  • Our offerings may include cocktails, non-alcoholic drinks, aesthetic styling, and setup/take-down services.

3. Client Responsibilities

  • You must provide a safe, flat setup area with vehicle access for the bar trailer (approx. 1.8 m × 0.7 m footprint).

  • A nearby accessible parking space for the trailer during service is required.

  • You must ensure appropriate venue permissions, electric access (13A standard), and any required Temporary Events Notice (TENS) or liquor permit.

4. Payment Terms

  • A non-refundable deposit of 25–50% (as per quote) is required within 7 days to reserve your date.

  • Final payment is due at least 14 days before the event.

  • Bookings made within 14 days require full pre-payment.

  • Additional gratuities, staffing overtime, or service extensions may incur extra fees.

5. Cancellation & Rescheduling

  • Written cancellations more than 14 days before the event forfeit the deposit.

  • Cancellations within 14 days result in a 50% charge; within 48 hours, 100% is due.

  • Rescheduling within 14 days counts as a cancellation and new booking.

6. Alcohol Service & Liability

  • We comply with state regulations and hold full liquor licensing coverage. ID checks required at staff discretion.

  • You assume responsibility for guest behavior and compliance with alcohol laws.

  • We reserve the right to refuse service to guests who appear underage or intoxicated.

7. Damage, Loss & Liability

  • You’re responsible for damage or loss to our equipment during the event.

  • We carry public liability insurance but do not cover damage caused by guests or venue issues.

8. Force Majeure

  • We are not liable for cancellations or service disruptions due to weather, emergencies, or acts beyond our control. In such cases, we offer rescheduling or a refund of unused services.

9. Privacy & Data Use

  • We collect only the personal data necessary for booking and communication (e.g., name, email, event date).

  • Your data is stored securely and not shared or sold. See our [Privacy Policy] for details.

10. Cancellation by Us

  • We reserve the right to cancel if safety or compliance issues arise. You may receive a full refund or alternate date, depending on circumstances.

11. Modifications

  • Changes to beverage selections, staffing, or guest count should be requested in writing. Fees may apply if changes occur less than 7 days before the event.

12. Governing Law & Venue

  • These Terms are governed by Washington State law.

  • Disputes not resolved amicably may be submitted to binding arbitration in Jefferson County.

13. Entire Agreement

  • These Terms, alongside your booking agreement or quote, form the entire contract between you and Bar Car Mobile.

  • No changes are valid unless made in writing and signed by both parties.
